Privacy Policy
Crewfit makes crew and billing apps for trade businesses like lawn care, landscaping and pressure washing. This policy explains what information we handle, why, who helps us run the service, and the choices you have. We wrote it in plain English on purpose.
The short version
- A business that uses Crewfit (our client) owns its data, including information about its own customers. We keep it safe and use it only to run that client's app.
- We don't sell anyone's information, we don't show ads, and we don't use tracking or advertising cookies.
- A client can download all of its data at any time from the app (Settings → Your data).
Who this covers
- Visitors to nortoncrewfit.com.
- Our clients and their staff who sign in to a Crewfit app (owners, office staff and crew).
- Our clients' customers, whose details a client keeps in its Crewfit app so it can do the work and send invoices. For these customers, the client decides what's collected and how it's used, and we handle it on the client's behalf. If you're a customer of one of our clients, please contact that business first; we'll help them with any request.
What we collect
On this website
The site doesn't have sign-up forms or tracking. If you email, call, text or book a walkthrough with us, we get what you send: your name, business, contact details and message. Our hosting provider keeps standard technical logs (like IP address and browser type) for security. The page loads fonts from Google Fonts, which receives your IP address to deliver them.
In a Crewfit app
- Login details: email address and a password (stored only in scrambled, hashed form by our database provider).
- The client's business records: company name, logo, prices and settings; customer names, service addresses, phone numbers, email addresses and payment preferences; job and visit records, photos the crew takes, notes, invoices, payments, quotes and orders; crew names and pay rates.
- On the device: the app saves a copy of recent data on the phone or computer (browser storage) so it keeps working with a weak signal. It isn't used for tracking.
How we use it
- To run each client's app: show the right jobs to the crew, build invoices, send invoice and reminder emails, generate PDFs and keep records.
- To support clients: fix problems, make changes they ask for, and back up their data.
- To keep the service secure and working: watch for errors, failed emails and misuse.
- To bill our clients for Crewfit and to answer people who contact us.
We don't use one client's data for another client, and we don't sell or rent anyone's personal information.
Texts, emails and card payments
- Texts: invoice texts are sent from the client's own phone and phone number. Crewfit lines them up, but the phone company carrying them is the client's.
- Emails: invoice, reminder, quote and review-request emails are sent for the client through our email delivery provider. Replies go to the client.
- Card payments (only if a client turns them on): customers pay on Stripe's secure page. Card numbers go straight to Stripe; Crewfit never sees or stores them. The money goes to the client's own Stripe account. Stripe's own privacy policy covers what Stripe collects.
Who helps us run Crewfit
We use a small number of trusted service providers, each only for its job:
- Supabase: database, logins and file storage (United States).
- Cloudflare: website and app hosting, and our domain's email forwarding.
- Resend: delivering the emails the apps send.
- GitHub: storing our code and the nightly database backups (in a private repository).
- Stripe: card payments, only for clients who turn them on.
- Google: website fonts, and our own email and calendar.
We may also share information if the law requires it, to protect people's safety or our rights, or as part of selling or merging our business (in which case this policy would still apply to existing data).
How long we keep it
We keep a client's data while they use Crewfit. When a client leaves, they can download everything first. We delete their data from the live system within 60 days of the account closing, or sooner if they ask in writing. Nightly backups are kept for 35 days and then deleted on their own. We may keep our own billing records with the client as long as tax law requires.
How we protect it
- Every connection is encrypted (HTTPS).
- The database walls each company off from every other company, so a login can only ever see its own company's records.
- Crew logins can't see prices, payments or billing.
- Our admin accounts use two-factor sign-in, and data is backed up every night.
No system is perfect. If we learn of a breach that affects your information, we'll tell the affected clients promptly so they can tell their customers.
Your choices
- Clients can view, change, export or delete their records in the app, or ask us to.
- Clients' customers can ask the business they work with to update or delete their details, or to stop emails. Every email includes the business's contact information.
- Anyone can ask us what we hold about them, or ask us to correct or delete it, using the contact details below. We'll answer within 30 days.
Children
Crewfit is for businesses. It isn't meant for children under 13, and we don't knowingly collect their information.
Changes
If we change this policy, we'll update the date at the top. If a change is significant, we'll tell our clients directly before it takes effect.
